Vapi / Implementation guide

Vapi disruption handling for luxury travel concierges

Vapi can explain approved recovery options while n8n coordinates Sabre Booking API data and Claude summarizes itinerary alternatives. For Luxury Travel & Hospitality Concierges, search results are not ticketed reservations. Fare rules, married segments, visa requirements and passenger approval must be checked before an itinerary is changed, even when a disrupted VIP is asking for immediate action.

Tools: Vapi; n8n, Claude 3.5 Sonnet, Sabre Booking API

The industry-specific problem

A single cancellation can affect connecting flights, hotel arrival, chauffeur pickup and several travelers on one booking. Calling clients in parallel helps only if each receives options that remain available and preserve the rest of the journey.

02

Step-by-step workflow

  1. Ingest an authorized disruption feed in n8n and match it to managed Sabre booking references.
  2. Retrieve fare rules, ticket status and itinerary dependencies through your contracted Sabre Booking API capabilities.
  3. Use a supported Claude model to explain validated alternatives; do not rely on the retired Claude 3.5 Sonnet API ID or let the model manufacture fares.
  4. Have Vapi obtain approval for the specific option, price difference and affected travelers. Route complex visas, split parties and ticketing exceptions to a concierge.
  5. Reprice and confirm availability immediately before committing via an authorized booking operation. Send a confirmed itinerary only after a successful ticketing result.
03

Visual workflow

Disruption → n8n PNR match → Sabre rules + live alternatives
→ Claude explanation → Vapi passenger approval
→ reprice/availability → ticketing confirmation OR concierge

Specific configuration example

This n8n Code-node fragment consumes a normalized, authenticated event from preceding integration steps. It demonstrates the decision boundary, not a complete API client. Fields are workflow-local mappings, not claimed vendor field names. Upstream credentials, schema validation, permissions, durable reservations and provider operations must be implemented separately. Numeric policy examples are illustrative, not Imperio service terms.

// n8n Code node: flight search is not permission to reissue
const recovery = $json;
return [{ json: {
  pnr: recovery.booking_ref,
  commitAllowed: recovery.passenger_approved &&
    recovery.fare_repriced && recovery.inventory_rechecked &&
    recovery.ticketing_authority_verified && !recovery.visa_uncertain,
  reviewReason: recovery.married_segment_change ? "segment_rules" :
    recovery.visa_uncertain ? "entry_requirements" : null,
  confirmationStatus: recovery.ticketing_success ? "confirmed" : "pending"
} }];

Outcome to measure

Illustrative planning metrics only. Not verified client results.

Track disruption-to-approved-option time and successful reissues without downstream breakage. Illustratively, explaining four alternatives in one call instead of three callbacks reduces contact rounds; validate actual time saved during a controlled disruption drill.

06

Compared with manual work or other tools

A generic airline chatbot lacks a concierge’s multi-provider context. Manual recovery handles unusual fare constructions best; automate option explanation and coordination while preserving specialist ticketing authority.

07

Work with Imperio Automation

Have Imperio design a Sabre recovery assistant that distinguishes searched, approved and ticketed travel.

Frequently asked questions

Can it change one leg without affecting the return?

Not by assumption. Fare and married-segment rules must be checked.

What if the chosen fare disappears during the call?

Reprice and offer a new option; never silently substitute a more expensive ticket.

May it promise a visa-safe connection?

No. Route entry or transit uncertainty to an appropriately qualified reviewer.
