n8n runtime billing for B2B equipment rental fleets

B2B Equipment Rental Fleets can combine a Custom Telematics API, Salesforce CRM and n8n to reconcile machine usage against rental terms. Claude may extract candidate contract clauses for review, but billing math must be deterministic. Meter resets, counter rollover, delayed telemetry and maintenance movements can create apparent usage that is not chargeable to the customer.

Tools: n8n; Claude 3.5 Sonnet, Salesforce CRM, Custom Telematics API
01

The industry-specific problem

An excavator rented under an included-hour allowance may exceed it without a clear billing record. Charging a raw meter difference can also bill the renter for yard movement after return or for a corrupted sensor counter.

02

Step-by-step workflow

  1. Read authenticated telematics samples and bind device IDs to the rental’s actual equipment record.
  2. Retrieve signed rental terms from the authorized Salesforce workflow; have a supported Claude model propose clauses for human verification, replacing Claude 3.5 Sonnet.
  3. In n8n, order samples by event time, check monotonic meters and bound usage to the custody interval.
  4. Calculate overage using verified allowance and rate rules; hold rollover, reset and uncertain return-time cases.
  5. Write a Salesforce billing review record or use a separately authorized invoicing integration. Salesforce CRM alone is not proof of an invoice/payment capability.
03

Visual workflow

Telematics samples + Salesforce rental terms → n8n custody interval
→ meter integrity gate → deterministic overage
  valid → billing review
  reset/gap → fleet exception

Specific configuration example

This n8n Code-node fragment consumes a normalized, authenticated event from preceding integration steps. It demonstrates the decision boundary, not a complete API client. Fields are workflow-local mappings, not claimed vendor field names. Upstream credentials, schema validation, permissions, durable reservations and provider operations must be implemented separately. Numeric policy examples are illustrative, not Imperio service terms.

// n8n Code node: example verified rental terms, USD
const rental = $json;
const delta = rental.end_meter_hours - rental.start_meter_hours;
const valid = delta >= 0 && delta <= rental.custody_elapsed_hours &&
  rental.telemetry_complete && rental.terms_verified;
return [{ json: { rentalId: rental.salesforce_rental_id,
  reviewRequired: !valid,
  overageMinor: valid ? Math.round(Math.max(0, delta - rental.included_hours)
    * rental.hourly_overage_rate_minor) : null,
  meterEvidenceIds: rental.sample_ids } }];

Outcome to measure

Illustrative planning metrics only. Not verified client results.

Measure validated unbilled hours recovered and billing disputes per rental. Illustratively, 12 previously unbilled chargeable hours at an assumed $45/hour yields $540 billed value before tax and collection.

06

Compared with manual work or other tools

Manual meter photos remain useful evidence. Telematics improves timeliness but introduces sensor-quality risk; a fleet platform with native rental billing may be simpler than a custom workflow.

Frequently asked questions

What if the meter resets?

Hold the charge and reconcile with service records or reliable cumulative telemetry.

Can it automatically invoice through Salesforce CRM?

Only if an authorized configured billing integration supports that operation.

Are post-return yard movements chargeable?

Use the contract and verified custody interval, not raw device totals.
