Vapi / Implementation guide

Vapi daily-log collection for general contractors

Construction & General Contractors can use Vapi to collect subcontractor updates, n8n to coordinate Procore API records and Claude to structure draft daily logs. A spoken report is an attestation from the caller, not verified site progress. Keep weather, labor counts, work completed and safety incidents attributable, with supervisor approval before the log becomes an official record.

Tools: Vapi; n8n, Claude 3.5 Sonnet, Procore API

The industry-specific problem

Foremen chase subcontractors after long shifts, receiving incomplete updates through calls and messages. A missing crew count is inconvenient; an omitted incident or incorrectly assigned project date can have contractual and safety consequences.

02

Step-by-step workflow

  1. Read active Procore projects and approved subcontractor contacts in n8n; schedule calls in each site’s local time, not a universal 4 PM.
  2. Use Vapi with appropriate consent to ask project-specific questions about workforce, activities, deliveries and incidents.
  3. Have a supported Claude model extract draft fields and verbatim incident evidence; replace the retired Claude 3.5 Sonnet API dependency.
  4. Require clarification when labor counts, dates or locations conflict. Safety incidents immediately follow the approved reporting chain.
  5. Create a Procore draft through the permitted API and record the supervisor’s review and caller provenance.
03

Visual workflow

Procore project/timezone → n8n contact schedule → Vapi field update
→ Claude attributed draft
  incident → safety escalation
  complete → supervisor review → Procore daily log

Specific configuration example

This n8n Code-node fragment consumes a normalized, authenticated event from preceding integration steps. It demonstrates the decision boundary, not a complete API client. Fields are workflow-local mappings, not claimed vendor field names. Upstream credentials, schema validation, permissions, durable reservations and provider operations must be implemented separately. Numeric policy examples are illustrative, not Imperio service terms.

// n8n Code node: reported facts remain attributed
const update = $json;
return [{ json: { projectId: update.procore_project_id,
  localWorkDate: update.site_local_date,
  workforce: update.reported_workforce,
  reportedBy: update.subcontractor_contact_id,
  status: "draft_requires_supervisor",
  immediateSafetyEscalation: update.incident_reported === true,
  missing: ["workforce", "activity"].filter(k => update[k] == null) } }];

Outcome to measure

Illustrative planning metrics only. Not verified client results.

Track same-day log completeness and foreman follow-up minutes. Illustratively, 15 subcontractor updates saving four minutes each releases one site-management hour per day.

06

Compared with manual work or other tools

A mobile Procore form is better for photos and reliable connectivity. Voice offers an alternative for busy field leads but must preserve review and should not pretend to validate site conditions.

07

Work with Imperio Automation

Have Imperio design an attributed, supervisor-reviewed Procore daily-log assistant.

Frequently asked questions

Can the call confirm work is actually complete?

No. It records the subcontractor’s report; inspection and supervisor verification remain separate.

What happens when a safety incident is mentioned?

Follow the immediate approved escalation chain, not the ordinary end-of-day summary.

Can every subcontractor be called at 4 PM?

Use site timezone, shift schedule, permission and local calling rules.
